Rules and Regulations of the Indian Hills Country Club Men's Golf Association

As per the bylaws of the Indian Hills Men's Golf Association the following rules and regulations govern the way our tournaments are conducted, comportment on the course, guidelines for Member-Member and Member-Guest qualifying, guest handicap procedures, tournament registration and cancellation policy and procedures for penalties and implementation.

Tournaments

Monthly Tournament Signup / Cancellation Policy

Last day to sign up for a tournament is by 6:00PM on the Wednesday preceding the tournament. Signups after Wed. will be subject to availability. A running list of the entries received will be on the MGA website (www.ihmga.org) during the signup period.

To withdraw or cancel your sign up for a tournament:

1. Log in to the website using your Member # and password.
2. Go to the tournament page showing all of the entries for the tournament. Beside your name, you'll see a little icon
3. Click on the icon to cancel yourself from the tournament.
4. Click OK if you're sure you want to cancel.

All cancellations must be made by 6:00PM on the Wednesday preceding the tournament. No shows and cancellations after that time will be billed for the tournament entry fee.

Member-Member and Member-Guest Tournament Signup / Cancellation Policy

All cancellations must be made by 6:00PM on the Friday, one week before the tournament. Please call the Major Tournament Chairman directly to cancel. No shows and cancellations after that time will be billed for the tournament entry fee.

Handicaps

All participants, including guests in the Member-Guest, must have a valid USGA handicap. There are several services that provide handicaps and we ask that you get your partners and potential partners registered. We will also be reviewing handicaps versus those scores posted in events played at Indian Hills. If your guest comes in with a 12 but has scores in our tournaments that are lower, the lower Indian Hills scores may be used to calculate their handicap.

Pace of Play

There are no television cameras, so you should play ready golf unless you are in match play. Our 3:59 initiative is in effect and the MGA Pace of Play Initiative in effect. Keep up with the group in front and forget about the rear-view mirror. Your scorecard must be turned into the Pro at the scoreboard within 15 minutes of the group in front of you to avoid a 2-stroke penalty.

Member Code of Conduct

The intention of this Member Code of Conduct is to establish clear and acceptable behavior expectations for the Indian Hills Country Club (the “IHCC”) Men’s Golf Association (the “MGA”) members. It is not intended to restrict the rights of anyone but rather to ensure that all members can expect to be treated with respect while enjoying the IHCC and MGA events. Upon payment of membership in the MGA, all MGA members (each such person a “Member”) have given their consent to be bound by both the restrictions and penalties imposed by this Code of Conduct.

Code of Conduct

All members of the MGA shall:

• Conduct themselves in a sportsmanlike manner and will not knowingly cheat, throw clubs, disrespect IHCC employees or other Members
• Respect the rights of other Member and IHCC employees (Ex.: Will not verbally or physically threaten or slander others, either personally or through social media)
• Not engage in any form of sexual, racial, or religious discrimination or harassment
• Observe proper golf etiquette as well as USGA and local rules of the course
• Not conduct themselves in any rude or immoral manner, including the extreme use of profane language, gestures, insults, or other such misbehavior
• Respect the golf course, golf carts, and facilities

Disciplinary Process

Members who observe or are affected by any behavior of a Member that violates the Code of Conduct and/or Rules and Regulations may make a complaint. Complaints may be verbal or in writing, and must be provided to a Member of the MGA Board of Directors (the “Board”). A complaint will be held in confidence. When a Member of the Board (a “Board Member”) receives a complaint or otherwise becomes aware of an alleged violation, the typical process is as follows:

• One or more Board Members selected by the Board President will investigate the incident to determine the facts of the case and the concerns of the affected Member or IHCC employee.
• The Member(s) accused of the alleged violation may be invited to have a discussion about the incident with one or more Board Members. This discussion determines whether the incident can be resolved at this stage, or referred to the full Board for a hearing.
• If a Board Hearing is necessary, the Board will notify the accused Member(s) of the date and time for the hearing , during which the Member will have the opportunity to present his position to the Board. The Board hearing is a peer-to-peer process and is generally closed to all except Board Members and the Member who is the subject of the hearing.
• With regard to each violation, the Board will determine a recommended course of action. The decision will then be communicated in writing to the Member.
• Members have a right to appeal the Board’s decision to the IHCC Director of Golf. If appealed, the IHCC Director of Golf’s decision is final.

Types of Disciplinary Sanctions

The MGA Bylaws, Rules and Regulations, and this Code of Conduct specify the potential sanction that may be imposed as a consequence of a Member’s violation of the Code of Conduct. The determination whether to impose a sanction and the severity of the sanction to be imposed is entrusted to the discretion of the Board:

• Dismissal: The MGA may dismiss the alleged violation and take no action.
• Reprimand Letter: When a violation is sustained, the Board may send a letter of reprimand to the Member and place such letter in the Member’s file for future reference.
• Probation: When a violation is sustained, the Board may place the Member on probation for a specific period of time. During this time, if a further incident occurs, an immediate additional penalty may be imposed, the severity of which may be more extensive.
• Suspension: When a violation is sustained, the Board may suspend the Member for a specific period of time. During the period of suspension, all membership privileges in the MGA may be suspended for the Member, without any refund of membership payments.
• Expulsion: When a violation is sustained, the Board may expel a Member from the MGA, permanently forfeiting all their membership privileges in the MGA.
